PAIA Manual

What this manual is: This PAIA Manual is published in terms of Section 51 of the Promotion of Access to Information Act 2 of 2000 (PAIA). It describes the categories of records held by VulaKomplex and explains how to submit a formal request for access to those records. To submit a PAIA request or a POPIA data subject request, contact our Information Officer at legal@vulakomplex.co.za.

1. Purpose of this Manual

This PAIA Manual assists members of the public to understand the categories of records held by VulaKomplex and how to request access to records in terms of PAIA and POPIA.

4. Information Regulator Guide

The Information Regulator has published a guide on how to use PAIA. The Guide is available from the Information Regulator's website and offices. Requesters should consult the Guide before submitting formal access requests.

5. Categories of records

Human resourcesEmployment records, contractor records, training records and disciplinary records.
Legal and compliancePolicies, registers, risk assessments, PAIA/POPIA records and regulator correspondence.
Marketing and websiteWebsite content, marketing materials, cookie records and consent records.

6. Records available without formal request

  • Public website policies.
  • Public company information required by law.
  • Marketing materials intentionally published by VulaKomplex.
  • Documents made available through the Platform to authorised users.

7. Request process

  1. Complete PAIA Form 2 (Regulation 7) — the prescribed request form published by the Information Regulator — and submit it to the Information Officer.
  2. Provide enough detail to identify the record requested.
  3. State the right that you seek to exercise or protect and explain why the record is required.
  4. Pay the prescribed request fee where applicable.
  5. VulaKomplex will process the request within statutory timelines and may refuse access where PAIA permits or requires refusal.

8. POPIA rights process

Data subjects may request access to, correction of, or deletion of their personal information in terms of POPIA. Where the information is Customer Data controlled by a Customer (managing agent or body corporate), VulaKomplex may refer the request to the relevant Customer or assist the Customer in responding.

9. Fees

Prescribed PAIA fees may apply. VulaKomplex may require payment of request, access, reproduction, search, or preparation fees as permitted by law. The applicable fees are those prescribed by the Minister of Justice and Constitutional Development from time to time.

10. Availability

This Manual is available on the VulaKomplex website at vulakomplex.co.za/paia-manual, at VulaKomplex's principal place of business, and on request from the Information Officer at legal@vulakomplex.co.za.
